Board Meeting Minutes

Date: March 24, 2026
Meeting Type: Spring Planning Meeting

1. Call to Order

The meeting was convened with strong attendance from both board members and community residents. Michele Pace welcomed attendees and expressed appreciation for the high level of engagement.

2. Welcome & Acknowledgments

  • A warm welcome was extended to Jill Myer, who is stepping into a more active role on the board.

  • Special thanks were given to Brian Carmichael for stepping in to assist and providing critical support.

  • Appreciation was also extended to:

    • Mary for her research on key management

    • Jenny Kutner for developing the beach maintenance list

    • Community members volunteering administrative support

3. Key Decisions (Approved by Vote)

The following items were discussed and approved:

  • Membership Dues: $125 flat fee per household

  • Rack Fee: $50 per vessel

  • Party Policy:

    • $200 deposit required

    • Beach must be cleaned by 10:00 AM the following day for deposit return

4. Upcoming Events

  • Annual Beach Cleanup
    Date: Saturday, May 2, 2026
    Time: 9:00 AM (early arrivals welcome)

  • 4th of July Block Party (Proposed)

    • Initial discussion to bring back the event

    • Volunteers needed for planning

    • Additional details to follow

5. Discussion Topics

Membership & Community Engagement

  • Plans to increase neighborhood participation through broader outreach

  • Save-the-date communication to be shared with expanded contact list

  • Goal to encourage more residents to join and engage with HHPA

Website & Communications

  • Website updates planned to reflect:

    • New pricing structure

    • Updated policies

    • Event information

Policies & Insurance

  • Need to finalize and communicate a one-day event policy, including insurance requirements

  • Review and confirmation of overall insurance coverage

Beach Operations & Maintenance

  • Ongoing coordination of key management and access process

  • Exploration of adding a lockbox at the beach for accessibility

  • Evaluation of float keychains for easier key use

  • Review of general beach maintenance priorities

Infrastructure

  • Discussion around evaluating next steps related to the beach fence

6. Action Items / Next Steps

  • Update website with new pricing and policies

  • Finalize and distribute one-day event policy

  • Review insurance coverage and requirements

  • Continue assessment of fence improvements

  • Send beach cleanup communication and volunteer sign-up

  • Coordinate volunteer roles and logistics for cleanup

  • Advance key management system and access improvements
